Discover your path to success with rewarding opportunities at VAME

Job Description

We are looking for an experienced Real Estate Bookkeeper to provide ongoing bookkeeping and financial reporting support across multiple real estate entities.

This is a part-time, flexible role and does not require daily availability. The workload will vary depending on the entity and reporting period, with some work required monthly and additional work around quarterly reporting.

Key Responsibilities

  • Maintain accurate bookkeeping records for real estate entities.
  • Record and categorize revenue, expenses, mortgage-related transactions, taxes, and other operating expenses.
  • Reconcile accounts and ensure financial records are accurate and up to date.
  • Review financial statements provided by property managers.
  • Prepare financial information and statements for partnership entities.
  • Assist with consolidating property and partnership financials to provide an overall view of the investment.
  • Track income, operating expenses, distributions, capital improvements, refinancing activity, and other relevant transactions.
  • Prepare financial information for quarterly reporting and year-end CPA/tax preparation.
  • Coordinate with the client and CPA as needed to clarify or make bookkeeping adjustments.
  • Maintain organized documentation and records for multiple entities.

Entity Structure

The role will initially support two real estate entities:

Smaller Entity

  • 100% owner-operated real estate entity.
  • Approximately 5–8 transactions per month.
  • Transactions include revenue and expenses.
  • Basic real estate bookkeeping involving mortgage, taxes, operating expenses, refinancing, and capital improvements.

Larger Entity

  • Real estate investment involving approximately 13–14 partners.
  • Includes an ownership entity, property entity, and asset management entity.
  • Property manager provides financial statements.
  • Bookkeeper will assist with partnership-level financial statements and consolidation of the property and partnership financials.

Qualifications

  • Previous experience in real estate bookkeeping or accounting.
  • Experience handling multiple entities and/or partnership structures.
  • Understanding of real estate transactions, operating expenses, mortgages, distributions, and capital improvements.
  • Experience reviewing and reconciling financial statements.
  • Experience with financial consolidation is strongly preferred.
  • Ability to work independently with minimal supervision.
  • Strong attention to detail and organization.
  • Good written and verbal communication skills.
  • Experience preparing records for CPA review and tax preparation.

Software

Experience with QuickBooks, Xero, or similar accounting/bookkeeping software is preferred.

The client is currently evaluating accounting software options, so adaptability to different platforms is important.

Expected Workload

This is not a full-time or daily role.

The expected workload is approximately:

  • Smaller entity: around 2–3 hours per quarter based on previous bookkeeping experience.
  • Larger entity: approximately 10–15 hours per quarter.
  • Additional monthly work may be required depending on the bookkeeping arrangement and reporting needs.

The client is flexible regarding how the hours are allocated and is primarily looking for reliable, accurate bookkeeping support.

Reporting Timeline

The company’s quarterly period ends on September 30. The client would ideally like to receive the relevant reports within a couple of weeks after quarter-end, although there is some flexibility around the timing.

Ideal Candidate

The ideal candidate is an experienced real estate bookkeeper who is comfortable working independently, understands partnership and property-level accounting, and can accurately organize and consolidate financial information across multiple entities.

This is a good opportunity for someone looking for a flexible, part-time bookkeeping engagement rather than a traditional full-time position.
