We are looking for a highly organized and proactive Communications Coordinator / Admin Support Specialist to support daily operations, internal communications, and marketing/admin tasks within our systems. This role is ideal for someone detail-oriented, tech-savvy, creative, and able to manage multiple responsibilities efficiently.
Key Responsibilities
- Import and export contacts from platforms such as FROG, Klaviyo, and Podium
- Create internal and external surveys/forms
- Perform minor website edits and updates
- Respond to Google and Facebook reviews (positive and negative)
- Source suppliers for print and promotional items
- Coordinate internal signage and creative materials (non-customer facing)
- Assist with Podium marketing text planning and execution
- Prepare internal employee emails and announcements (newsletters, events, holiday parties, etc.)
- Handle commercial ordering and other ad hoc ordering requests
- Provide general administrative support as needed
Requirements
- Previous experience in administrative support, communications, or coordinator roles
- Strong written and verbal English communication skills
- Experience with CRM / marketing tools such as Klaviyo, Podium, or similar platforms
- Basic website editing experience (WordPress or similar preferred)
- Strong organizational and multitasking skills
- Ability to work independently and meet deadlines
- Creative mindset with attention to detail
Preferred Qualifications
- Experience handling online reputation management / review responses
- Background in marketing support or internal communications
- Familiarity with Canva or design tools
